Latopis

Find the size of your data, system by system.

One note for each system on the Latopis intake. Where the count lives, who can see it, and what unit to report. An estimate from the admin is enough. Nothing is exported from this page.

Exact systems and sizes make a faster review.

A buyer reviews the record before pricing it. The intake asks which systems you use, how much sits in each, how long you have used it, and how many people are on it.

A specific answer shortens that review. Eight years of Outlook and 140 Procore projects tell us more than a note that the company uses email and some job software.

You do not need to export anything to fill in the intake. Names come off before a buyer sees the record.

Team chat

Internal messaging. Report a message count if the tool shows one. Otherwise report storage.

Slack

Message count in Workspace analytics. A full export of private channels and direct messages needs a Business+ or Enterprise plan.

Microsoft Teams

Usage reports cover about 180 days. A full chat history is an eDiscovery or Purview export.

Email and calendar

All company mailboxes, including former employees if the mail was retained. Usually reported in years and mailbox size.

Gmail

User and storage reports in the Google Admin console. Vault holds retained mail, including people who have left, if retention was on.

Outlook

Mailbox usage in the Microsoft 365 admin center. A full history is a Purview content search, not the 180-day usage chart.

Files and documents

Shared drives and personal drives together. Usually reported in GB.

Google Drive

Storage on the Admin console storage page, split by user and shared drives.

SharePoint

Tenant storage and per-site usage in the SharePoint admin center. A full pull is a separate eDiscovery export.

OneDrive

Storage per person in the Microsoft 365 admin center. That number is part of the file record, not a second system, if the company already counted SharePoint.

Dropbox

Storage in the admin console. A full copy is the desktop sync, which is more than the intake needs.

Field operations

Jobs, projects, photos, and the paper that follows them. Usually reported in jobs, projects, or files.

Procore

Project list in the company Portfolio. Per-project archives come from Procore Extracts. Count projects first, then years on the account.

Buildertrend

Job and item counts on the grid views. Supported grids export to Excel if you want a count without opening every job.

AccuLynx

Job and contact counts in reports. The report total is enough for the intake.

JobNimbus

Contact and job counts in a saved custom report. Attachments are per record, so a job count understates the files.

CompanyCam

Photo and document counts per project on the Exports tab. A zip per project is the full pull, later, if a buyer asks.

ServiceTitan

Job, customer, and invoice counts in Reports. Full history is an export. The report totals are enough to start.

PlanGrid

Sheet and photo counts on the project. If the company has moved to Autodesk Build, use that project’s file total instead.

Drawings and CAD

Drawings the company produced. Usually reported in GB, or in the number of project folders.

AutoCAD

No company-wide meter. Measure the DWG folders on the server, or storage in Autodesk Docs, and report GB.

Bluebeam

File size of Studio projects plus the local PDF sets. There is no single seat-wide meter.

Excel

File size and workbook count in the shared drive. Estimating sheets and job logs count. There is no company-wide meter.

Accounting

Ledgers, invoices, and job cost. Usually reported in years and transaction counts.

QuickBooks

Run a transaction report for the count, then use Export data if a buyer later asks for the file. The count is enough for intake.

Sage

Row counts from the report the company already runs. A bulk export depends on whether it is Sage 100, Sage 300, or Sage Intacct. Say which one.

Phone and call recordings

Recorded calls, if you keep them. Hours of audio is the useful unit.

RingCentral

Call log and recordings in the admin portal. An archiver copies recordings into your own storage if the plan keeps them only briefly.

OpenPhone

Call history in the workspace. Export the log. Say whether recordings are on, and for how many years.

Zoom

Cloud recording storage, plus the recording report. Local recordings stay on the machine that hosted the meeting and are easy to miss.

Put your numbers on the intake.

List the systems, a rough size, and the headcount. A buyer reviews the record and prices it. There is no fee to the company.
